Warehouse, stock and documents

The warehouse follows material from goods receipt through to its use in a specific work order. It is not a separate ledger that someone reconciles afterwards — an issue is tied to the order it was issued for, so at any moment you know where material went and what that job actually consumed.

For joinery production that matters more than it might seem, because most of the value sits in profiles and glass — and that is exactly where the offcuts nobody records are generated.

What Warehouse actually does.

A control screen before anything is issued

The warehouse overview shows what is holding up work in one place: how many items have fallen below their minimum, how many reservations are open, which purchase orders are outstanding and what the stock is worth. Alongside sit document counters by type for the last seven days and a warning about late deliveries. The below-minimum list also proposes an order quantity.

Below minimum: Items whose stock has fallen under the set threshold, with a proposed quantity.
Stock and free stock: Total stock and what genuinely remains once reservations are deducted.
Open commitments: Reservations and purchase orders that are not yet closed.
Late deliveries: A warning about ordered goods that have not arrived on time.

Documents that cover the real work

Every movement has its own document rather than just a changed number. Receipts bring material in, issues take it out against an order, dispatch notes accompany delivery, returns bring back what was not used, write-offs remove what has been spoiled, corrections fix mistakes, and transfer notes move stock between warehouses. Stocktakes are kept as documents, including the annual one.

Stock value, not only quantity

Stock is valued on a FIFO basis, so material cost follows the actual purchase order rather than an average that hides price rises. Average price and book value are maintained alongside. Production costs are tied to the order, so you can see how much material genuinely went into a specific job.

FIFO: Valuation in order of purchase.
Average price: For comparison and a quick estimate of stock value.
Cost per order: Material issued to an order, tied to that job.

Analysis that shows where the money sits

ABC analysis ranks items by their share of value, XYZ by how predictable their consumption is. Together they show what is worth holding in stock and what should be ordered as needed. Ageing analysis shows what has been sitting too long — usually material bought for a job that fell through.

Barcodes, traceability and offcuts

Items are labelled with barcodes, and scanning speeds up receipts and issues without typing codes. Traceability links the receipt, the issue and the order, so in the event of a complaint you know which delivery the material came from. Finished pieces and load units are tracked separately from raw material, because they behave differently.

Limits, plainly stated

The warehouse is a separate module and its availability depends on the package and licence. Values are calculated from the data entered — without purchase prices there is no stock value. Reservations and demand-against-stock comparison work when the bill of materials and orders are connected to the warehouse. The software does not manage the physical layout of racking.
