Bills of materials from the drawing

The bill of materials turns a drawing into a list of what actually has to be ordered and cut. Every line comes from the structure — the profile from the frame, the hardware from the sash, the glass from the field — so nothing is retyped and nothing is forgotten. Alongside the quantity sits the quantity increased by the defined waste, the purchase price and the total cost.

For costing, what matters is that the cost is tied to a specific drawing rather than to an estimate. Change the position and the bill of materials recalculates; change a purchase price in the database and the value of the position changes with it.

HOW IT WORKS

What Bill of Materials actually does.

Every group in one place

Lines are grouped by material type and by role in the structure, with subgroups and sections. Profiles, hardware, shutters, infills and accessories each have their own group, so within seconds you can see where the cost actually sits. The view works both for a single active position and for all lines together.

Quantity, waste and cost

Alongside the base quantity sits the quantity increased by the waste defined in the materials database, because the latter is what you order. Purchase price, tax and total cost are calculated once prices have been entered; without prices the bill of materials still works, simply without values. The summary gives the total purchase value of the active position.

Connected to inventory and purchasing

The bill of materials is more than a list. Material can be reserved from it for a specific job, and the reservation released later. A material status shows whether a line is covered by stock, estimated, or blocked. From the same table, draft orders are prepared for what is missing — with quantities taken from the bill of materials rather than from an estimate.

Exports somebody actually uses

The bill of materials exports to XLS for further processing, to PDF as an attachment to a quotation or work order, and to DOC when the document has to fit someone else's template. For work orders with several positions, lines can be totalled across the whole order, so purchasing receives one list instead of ten.

Limits, plainly stated

Values appear only for materials whose prices have been entered — the bill of materials never assumes them. Waste is calculated from the percentage defined against the material, not from the actual optimisation result. Reservations and draft orders require the inventory and purchasing modules to be included in the licence.

01Where does the bill of materials get its materials from?

From the active drawing. Every line is tied to the part of the structure that requires it — a profile to a frame or sash, hardware to a sash, glass to a field — and to the data in your materials database.

02Can it show purchase cost?

Yes, once purchase prices have been entered into the database. It shows unit price, tax rate, gross amount and total cost per line, plus the total for the position.

03What does “quantity + waste” mean?

The base quantity is what goes into the unit. The quantity with waste is increased by the percentage defined against that material, and that is the quantity you need to buy.

04Can material be reserved for a specific job?

Yes, if the inventory module is included. Material is tied to the job, and the reservation can be released when the job falls through or changes.

05How does a purchase order come out of the bill of materials?

Lines not covered by stock move into a draft order to the supplier, with quantities taken from the bill of materials. The draft can be edited before it is sent.

06Which formats can it export to?

XLS, PDF and DOC are confirmed. For a work order with several positions, lines can be totalled across the whole order into a single list.
